What a payment receipt should show

  • Who received the money and who paid it
  • Receipt number and the date the money arrived
  • The amount, in figures and in words
  • How it was paid — UPI, bank transfer, cheque, cash
  • A reference, such as the invoice number it settles
  • Any balance still outstanding

Why bother sending one

Most people send "received, thanks" on WhatsApp and leave it there. A receipt takes thirty seconds, gives your client's accounts team the document they need, and keeps your own records clean. It also quietly signals that you run a proper business.

Common mistakes

  • No reference to the invoice being settled
  • Not recording the payment method
  • Forgetting to show the remaining balance on a part payment

Questions

Is a receipt the same as an invoice?
No. An invoice asks for money. A receipt confirms money that has already been received.
Do I need a receipt voucher under GST?
A registered supplier receiving an advance is generally required to issue a receipt voucher. Check the current requirement with your CA.
Is this really free?
Yes. Every document type, all eight templates and unlimited documents are free, and you do not need an account to make your first one.
